JOB DESCRIPTION

 

 

POSITION:                                  PROFESSIONAL ACCOUNTANT (Accounts Payable)

 

IMMEDIATE SUPERVISOR:      Treasurer/Chief School Business Official

 

FLSA/CONTRACT STATUS:     Exempt

 

EMPLOYMENT TERM:              261 Days

 

SALARY:                                    Pursuant to WV Code §18A-4-2, in accordance with Mineral County Teacher Salary Schedule, commensurate with experience and education level.

 

EVALUATION:                          Performance in this position will be evaluated by the building principal/immediate supervisor and in accordance with WV State Code §18A-2-12, WV State Board Policy 5310 and Mineral County Board of Education Evaluation Policy. 

 

JOB SUMMARY:                       Provide financial/accounting services in the area of accounts payable.

 

PERFORMANCE RESPONSIBILITIES:

  • Acts as general accountant and preserves all paid invoices, vouchers, and contracts relating to the financial operation of Mineral County Schools;
  • Disburses accounts payable funds on behalf of the school system;
  • Maintains an encumbrance accounting system for accounts payable;
  • Prints all county purchase orders daily;
  • Assists employees with proper purchase order procedure and entry;
  • Prepares accounts payable (with assistance from other staff). Verify accuracy of invoices, travel reimbursements, amounts, and accounts;
  • Processes accounts payable (with assistance from other staff), on a schedule determined by the Chief School Business Official;
  • Records accounts payable information in the Monthly Expense Summary report immediately after each check processing;
  • Monitors expenditures made by others; report any unusual expenses to the treasurer;
  • Maintains all accounts payable records, including invoices, vouchers, purchase orders, account postings, and vendor lists;
  • Receipts all revenue and income in the form of checks, cash, coins, wires, etc. into the WVEIS Receipting System;
  • Maintains the Treasurer’s Receipt Log;
  • Maintains Out-of-County Travel Log;
  • Maintains files for all grants received by Mineral County Schools;
  • Maintains all Financial Files for the CSBO/Treasurer;
  • Maintains all correspondence files for the CSBO/Treasurer;
  • Maintains the New Fixed Asset Log;
  • Maintains the School/Support Group Fundraiser Log;
  • Assists external auditors in the completion of their tasks;
  • Maintains (with assistance from other staff), the school secretary/accountant notebook;
  • Adheres to Employee Code of Conduct as outlined in Mineral County School’s Policy 3210; and
  • Performs other duties deemed appropriate and assigned by the Superintendent and/or immediate supervisor(s).

 QUALIFICATIONS:

  • Bachelors Degree in business, accounting, or related area required;
  • Three to five years’ experience in accounting; and
  • Criminal background check conducted pursuant to WV Code §18-5-15c and/or §18A-3-10, as appropriate

The position requires the individual to meet multiple demands from several people and interact with the public and other staff members.
